2. How We Use Your Information

• Member management: Registering and maintaining member accounts, managing membership types and renewals
• Authentication: Verifying your identity through SMS-based one-time passwords
• Training operations: Scheduling classes, recording attendance, tracking skill progression and lap times
• Safety: Maintaining emergency contact and medical information in case of injury during training
• Payments: Processing membership fees and class payments, managing payment approvals
• Communications: Sending club news, announcements, and notifications through the App
• Certificates: Issuing achievement and skill level certificates
• Referral programme: Managing referral codes and associated rewards
• Compliance: Meeting legal obligations and ensuring operational compliance

3. How We Share Your Information

We do not sell, trade, or rent your personal information to third parties. We may share information in limited circumstances:

• Club administrators and coaches: Authorised staff members can access member information necessary to manage training, classes, and club operations
• Payment processor (PayPal): Payment details are shared with PayPal solely for the purpose of processing transactions
• Service providers (Supabase): We use Supabase for secure data storage and authentication services
• Legal requirements: We may disclose information if required by law, regulation, or legal process
• Emergency situations: Emergency contact and medical information may be shared with medical personnel in case of injury

Your data is stored securely using Supabase, a cloud-based platform with enterprise-grade security measures including:

• Encryption of data in transit (TLS/SSL) and at rest
• Row Level Security (RLS) policies ensuring users can only access their own data
• SMS-based authentication for secure account access
• Regular security updates and monitoring

While we take reasonable steps to protect your information, no method of electronic transmission or storage is completely secure. We cannot guarantee absolute security.

We retain your personal information for as long as your membership is active and for a reasonable period afterwards to fulfil legal obligations and resolve disputes. Specifically:

• Active members: Information is retained for the duration of membership
• Inactive members: Records may be retained for up to 7 years after membership ends for compliance and insurance purposes
• Payment records: Retained for 7 years in accordance with Australian tax law
• Chat messages: Retained while your account is active

During registration, members (or their parent/guardian for minors) are asked to provide consent for photography and videography during training and events. This consent allows the Club to use images for promotional purposes including social media, the club website, and newsletters. Photography consent can be withdrawn at any time by updating your profile settings or contacting the Club.

The App may contain links to third-party services (such as PayPal for payments). We are not responsible for the privacy practices of these external services. We encourage you to review their privacy policies.
